My Advisees Dashboard

The My Advisees dashboard found in my.metrostate.edu has been built to provide academic advisors with the ability to easily view their advisee list, as well as:

  • Filter and Sort
  • Export to .csv /Excel
  • Create and address a draft email message in Outlook
  • Copy for paste into a separate document
  • View courses and grades for a specific student
  • View student notes from RNT and/or access Web RNT to add a note.

The My Advisees dashboard is available to:

  • Faculty or staff that have advisees (per ISRS) via My.Metro under My Apps > Resources > Advisor Tools
  • TRiO Counselors via My Apps > Resources > Advisor Tools - Trio

Those that need to look up students that are not assigned as their advisee in ISRS may do so using the Student Lookup Utility.  Student Lookup Utility results are presented using the same functionality as the My Advisees dashboard, and generally have the same features.  See my.metro:  Student Lookup Utility knowledge base article for more details.

  Note:  Dashboard information updates at various times throughout the day, based on it's source, but the underlying ISRS table updates once per day.

Basic Features

  • View available ISRS data for your advisees*
    • Though similar to the data that is used for student email utility, there are more fields available on this dashboard.
    • *Student Lookup Utility users will be viewing data for an individual student or another advisor's advisee list. 
  • Filtering:
    • Filters only show values available in the results..
    • Can filter on specific values to produce a desired advisee list; multiple filters may be selected at once.
    • Larger filter selection windows indicate multi-select filter. A single filter value may be selected in all others. Multi-select filters may be used by holding Ctrl while selecting the desired filter options.
    • Clicking on reset filters button removes all filters and returns to a full list of students.
    • Note: No filtering feature is available when Student Lookup Utility is used to search by student.
  • Sorting - Each column is sortable by clicking on column name – we recommend using this for situations where you are looking for a range, i.e., GPA between x and y.
  • Searching - The Search box searches all columns for the text entered.
  • Scrolling - For horizontal scroll, just click into a data row and: Use arrow keys; hold Shift + the mouse scroll-wheel button; side-click your mouse scroll-wheel button (depending on the mouse); or the scroll bar at bottom of list.
  • Exporting:
    • CSV button will create an Excel/.csv file of all filtered advisees/info. File will be visible on bottom left of screen or can be found in your computer’s Downloads folder.
    • Copy button will copy all filtered advisees/info and allow you to paste into a file (Excel file recommended to keep formatting).
    • Create draft Outlook email with list button will create an email in your Outlook Drafts folder for any students in the dashboard display for whom you have checked the box in the first column.
      • Utilizes the Bcc: field to preserve student privacy.
      • When preparing emails, please review your ‘send to’ list to ensure it includes those you intended. It will include results from the current filter that also have the first column checkbox checked.
    • Export is recommended only for single use; not to download and use in lieu of the dashboard.

  • View Courses and Grades – A Courses button on each student row displays courses and grades for that student. That data may also be filtered and sorted.
  • View and Add* Student Notes
    •  A Notes button on each student row displays the notes in RNT (RightNow Technologies/Oracle Service Cloud) and adds search functionality, as well as access to the web version of RNT* where you may add additional notes (incident). 
    • The web version of RNT requires a user account. To be added as an RNT user, please submit a RNT service request.

Field Descriptions (alphabetical)

ADMIT DATE The date on which the Admit Status became active.
ADMIT END DATE The date on which the Admit Status ended. An active admit will have 12319999 in this field.
ADMIT STAT: The admit status of the student. Code definitions below.
11 First year student. Has accumulated fewer than 16 transfer credits before applying to Metro State.
12 Transfer student. Has accumulated 16 or more transfer credits before applying to Metro State
14 Returning student. Has previously achieved a degree elsewhere or at Metro State.
21 PSEO (Post Secondary Enrollment Options) student. 
22 Current high school student with future HS graduation date. Not a PSEO participant.
31 Visiting/non-degree seeking student.
32 Visiting/non-degree seeking student with a previous degree at Metro State.
50 Graduate certificate/licensure student.
51 Graduate student in regular major.
61 Graduate visiting/non-degree seeking student.
62 Graduate visiting/non-degree seeking student with a previous degree at Metro State.
71 Graduate post-masters/doctoral student.
81 Graduate post-masters visiting/non-degree seeking student.
91 Graduate specialist student.
APP DATE   The date on which the university application was received.
BEGINNING YRTR  The year-term for which the student indicated interest.
DIVISION 1 First division assignment.
DIVISION 2 Second division assignment.
ENR COND Enrollment condition at the time of admit. 01 = Good Standing, 02 = Probation, 03 = Conditional
FA FLAG Indicates FAFSA application was received for the current YRTR. NOT an indicator of completion of FAFSA application requirements, FA award, or upcoming new semester FAFSA application.
FA HOLD Indicates that hold(s) exist(s) on the student's account with the Areas Affected code of FA. See ISRS screen PS0050UG for details.
GRAD ATT LOC CRHR Graduate total Local (Metro State) attempted Credit Hours. See ISRS screen ST1137UG for semester details.
GRAD GPA Cumulative graduate grade point average (GPA).
GRAD LOC CRHR Graduate total Local (Metro State) earned Credit Hours. See ISRS screen ST1137UG for semester details.
GRAD TRSF CRHR Graduate total Transfer Credit Hours. See ISRS screen ST1137UG for semester details.
INTERNET ADDR Institutional email, defaults back to personal email address if institutional does not exist.
METRO EMAIL Student's official Metro State email ending in my.metrostate.edu.
PRIMARY EMAIL Email address chosen as primary through the student's Star ID interface.
RELEASE OF INFO Indicates if a Release of Information exists or additional privacy requested.
RG HOLD Indicates that hold(s) exist(s) on the student's account that prevent adding registration credits. Areas Affected codes include RG, RA, and some FA. See ISRS screen PS0050UG for details.
ST CLASS Freshman, Sophomore, etc. Based on the number of credits completed by the student/special student status. See ISRS screen ST1115UG for details.
UGRAD ATT LOC CRHR Undergraduate total Local (Metro State) attempted Credit Hours. See ISRS screen ST1137UG for semester details.
UGRAD GPA Cumulative undergraduate grade point average (GPA).
UGRAD LOC CRHR Undergraduate total Local (Metro State) earned Credit Hours. See ISRS screen ST1137UG for semester details.
