Workday Implementation: MinnState NextGen Project

NextGen Overview

The NextGen ERP Project is the Minnesota-State-wide project for implementing and replacing our current information system (ISRS) with Workday, the next generation system. The Workday solution will link all 54 campuses throughout the 37 Minnesota State colleges and universities and serve as a unified administrative cloud-based technology system that improves the student experience and streamlines enterprise-wide business processes. The NextGen project has two major phases, the first for finance and human resources (human capital management) and the second for student functions. Go-live for Workday implementation is July 2024.  The future go-live date for phase 2, student administrative functionality, Workday implementation has not yet been determined.

This Minnesota State site was developed to provide information, updates, and NextGen Resources to support institutions to help keep everyone informed about the NextGen project and provide Workday resources. This site is continually evolving with added resources, so you will want to visit the site frequently.

  • Passport to Workday - subscribe to Gov Delivery
    • Passport to Workday is a Minnesota State onboarding guide that aims to provide key resources to prepare and inform future users of Workday to successfully use the platform. Subscribers will receive Passport to Workday email series each Friday until mid-April. Please subscribe to Gov Delivery to receive the new Passport to Workday (if you previously subscribed to the UpNext newsletter you are already included to receive this).

Workday Training for All Employees

Workday User Training for all Minnesota State Employees

The Minnesota State Workday Training Program page provides Workday training resources such as, Early Learning and training FAQs. As the training program develops, additional resources will continue to be added to the page.

  • Workday training is determined by security role(s). All Minnesota State employees will have at least one security role, called Employee as Self. Depending on an employee’s responsibilities, they may have additional security roles and therefore additional training to complete. 
  • Workday security roles make sure the appropriate tasks, actions, and data flow to the correct individuals for the completion of business processes. Leaders at each institution in both human resources and finance have assigned security roles to each position based on the position’s job duties. 
  • Computer Based Training (CBT) available April 1, 2024 available through the Enterprise Learning Management system (ELM); these self-paced courses should be completed prior to July 2024 HCM and Finance go-live Workday implementation.
