Using the Technology
Room Configuration and Modes
The room has two displays in the front of the room and two displays in the back of the room. Display 1 is always on the user’s left and Display 2 is on the right. This causes the displays in the back of the room to be crisscrossed with the displays in the front of the room.
The speakers and microphone connected to the room PC will be labeled “Room Speakers” and “Room Microphone”.
The room has the following modes available:
-
General Classroom:
- Allows users to use the displays and microphones in the room.
- Lecture Capture:
- Allows users full functionality of the technology in the room.
- Hyflex:
- Provides a streamlined interface designed specifically for running virtual meetings.
- Audio Only:
- Provides a streamlined interface focusing on the controls for the microphones in the room

Audio Only:
The Audio Only screen shows the volume sliders and mute buttons for the wireless microphones in the room.
This mode will only use the Handheld Wireless and the Lavalier Wireless volume sliders on the left of the screen. While the Room Mics and the Program Audio sliders appear, they are not used in this mode.

When the session is over, press the Close button in the upper right corner of the touch screen to return to the start menu
(Note: The Room Mics and Program Audio columns are not used in this mode)
General Classroom
Sub-Section Topics:
Initial Setup:
After selecting General Classroom, the control panel has three groups of buttons.

The four buttons in the middle select what do show on the displays in the room.
- PC: the instructor station monitors
- HDMI: a device connected to the control panel through the HDMI cable.
- USB-C: a device connected to the control panel through the USB-C cable.
- Doc Cam: the view from the ceiling camera.
Once you have everything ready, unselect the Screen Shade button in the middle of the left column of buttons.
- Note: The Screen Shade button will be activated whenever you start up the system, so you can get your presentation ready before sharing the screen.

How to change to a different source to present content:
- Plug in your device using the HDMI cable or the USB-C cable, and press the corresponding input button in the center
- Select the corresponding video source button on the touch panel.
How to display content from two different sources:
The two displays can be used independently to display two different sources simultaneously.
- Press the Advanced Display button.

- Select the video input sources for Display 1 Video Selection and Display 2 Video Selection

- Select an audio source to set which source is connected to the room speakers.
Hyflex Classroom:
NOTE: You must run Zoom through the instructor station to use the cameras and the room mics.
The Hyflex room set up is designed to maximize class interaction between students in the classroom and online by allowing the zoom meeting room particpants to be displayed to the in-person class particpants while still seeing the instructor content.
Sub-Section Topics:
Set up a Zoom session using Hyflex:
This process assumes that the presenter is the event host and has set up a Zoom meeting ahead of time using their Minnesota State Zoom account.
- Log in to the instructor station
- Open the Zoom App on the Lectern PC
- Launch the Zoom Meeting and get the meeting room ready
- Press the Hyflex button on the touchscreen to turn on the displays, speakers, and microphones in the room
- Once your presentation is ready, press the Screen Shade button to display your content
The sections below discuss the controls you can use during the session:
Audio:
Here is how to the audio is set up in the room:
- The microphones in the ceiling are directed towards the room and muted by default. To ensure the best audio for the people who attend online, be sure the presenter uses the wireless mic options
- The wireless mics for the instructor have a button on the side to mute and unmute them once removed from the charger.
- To prevent the possibility of feedback online, use the wireless mics by the instructor station. If you move into to the room seating area, press the button on the wireless mic or lavalier mic to mute it.
- The volume buttons on the main hyflex page control any media from the computer. To turn up the presenter mic or the room mics press the Advanced Audio button.
Camera Selection:
At the bottom of the Hyflex page are two camera buttons:

- Selecting the presenter camera switches to the camera in the back of the room facing the presenter
- Selecting the room camera switches to the camera in the front of the room facing the students.
Camera Controls:
Under the Room Mic Mute is the Camera Controls button

- Select the camera you want to adjust at the top of the screen and use the controls to position the camera view. Use the arrow buttons to move the camera left, right, up, or down. Use the plus or minus buttons to zoom in or out.
- Select the Close button in the upper right corner to return to the main hyflex page
Lecture Capture:
This set up is designed to give the user the most control of the technology in the room, by merging the features of the General Classroom set up and the Hyflex set up. There are some additional things to keep in mind using this mode:
- If in a zoom meeting, any additional input is selected to be shared from the lectern PC, it will be shared to the room but not the zoom meeting. The control panel views each of video sources as a separate input. The zoom meeting is happening on the PC input. There is nothing connecting the other three inputs to the PC input. For this reason, the doc cam is not an option for zoom meetings.
The scenario below is one use case that the user would not be able to replicate in the other modes.
Setting up a Zoom meeting with slides on Both Displays
NOTE: You must run Zoom through the instructor station to use the cameras and the room mics.
- Open your Zoom meeting on the instructor PC
- Select the Lecture Caputre button on the touchscreen
- Select the PC button as the source

- Select the Advanced Display button and select Room PC Primary in both the Display 1 and 2 Video Selection columns

- This displays the Primary display on both screens in the room while allowing the secondary display to be used by the instructor to monitor things like the people online and the chat.
- Once you are ready, deselect the Screen Shade button.
Caveats to this setup
- To display something online from a different source than the instructor station, the user will have to log into the meeting on the zoom meeting on that device as a guest and share their screen on that device.
- Audio the audio settings will work the same as in the Hyflex settings. The user can access the controls through the Advanced Audio menu
- Camera setting are available by selecting the Camera Settings button at the bottom of the screen to switch between the room and presenter cameras.
