Using the Technology
Room Configuration and Modes
The room has two displays in the front of the room and two displays in the back of the room. When facing the displays, Display 1 is always on the left and Display 2 on the right. This causes the displays in the back of the room to be crisscrossed with the displays in the front of the room.
The speakers and microphone connected to the room PC will be labeled “Room Speakers” and “Room Microphone”.
The room has the following modes available:
-
General Classroom: use the displays and microphones in the room for in person classes or meetings.
- Lecture Capture: Allows full functionality of the technology in the room.
- Hyflex: Provides a streamlined interface designed specifically for running virtual meetings.
- Audio Only: only uses the wireless microphones for voice amplification, does not use any displays

Audio Only
The Audio Only screen shows the volume controls for the wireless microphones in the room. Use the sliders or the volume up/down buttons to adjust the volume of either the Handheld Wireless or Lavalier Wireless microphones.
This mode will only use the Handheld Wireless and the Lavalier Wireless volume sliders on the left of the screen. While the Room Mics and the Program Audio sliders appear, they are not used in this mode.

When the session is over, press the Close button in the upper right corner of the touch screen to return to the start menu.
General Classroom
Sub-Section Topics
Initial Setup:
The General Classroom control panel has three groups of buttons.

The four buttons in the middle select a video source to show on the room displays.
- PC: instructor station monitors
- HDMI: a device connected to the control panel through the HDMI cable
- USB-C: a device connected to the control panel through the USB-C cable
- Doc Cam: the document camera at the instructor station
Once you have everything ready, tap the Screen Shade button in the middle of the left column of buttons.
- Note: The Screen Shade button will be activated whenever you start up the system, so you can get your presentation ready before sharing the screen.

Change to a different source to present content:
- Connect a device using the HDMI cable or the USB-C cable, set up the document camera, or log in to the Instructor PC
- Select the corresponding video source button
- If necessary, tap the Screen Shade button to share to the room displays.
Display content from two different sources:
The two displays can be used to display content from two different sources.
- Press the Advanced Display button at the bottom of the middle group of buttons.

- Select an input source for Display 1 Video Selection and Display 2 Video Selection

- Select an audio source to set which source is connected to the room speakers.
Hyflex
NOTE: You must run Zoom through the instructor station to use the cameras and the room microphones.
The Hyflex mode is designed to maximize interaction between students in the classroom and online by showing Zoom participants on one display and instructor content on the other.
Sub-Section Topics
Set up a Zoom session
This process assumes that the presenter has scheduled a Zoom meeting using their Minnesota State Zoom account.
- Log in to the Instructor PC
- Open the Zoom App
- Launch the Zoom Meeting and open the meeting room
- Press the Hyflex button on the touchscreen to turn on the displays, speakers, and microphones in the room
- Once your presentation is ready, press the Screen Shade button to display your content
The sections below discuss the controls you can use during the session:
Audio
- The ceiling microphones are directed towards the room and muted by default. The presenter should use one of the wireless microphones to ensure quality audio for online attendees.
- The wireless microphones have a button on the side to mute and unmute. They will be automatically unmuted when they are removed from the charger.
- To prevent audio feedback, only use the wireless mics by the instructor station. If you move into to the seating area, mute the wireless microphone.
- The volume buttons on the main hyflex page control media from the computer. To adjust the presenter mic or the room mics press the Advanced Audio button.
Camera Selection
There are two camera buttons at the bottom of the Hyflex screen:
- The Presenter Camera button uses the camera in the back of the room facing the presenter
- The Room Camera button uses the camera in the front of the room facing the students.

Camera Controls:
The Camera Controls button opens a screen to adjust the camera view if needed.

- Select the camera you want to adjust at the top of the screen and use the controls to position the camera view. Use the arrow buttons to move the camera left, right, up, or down. Use the plus or minus buttons to zoom in or out.
- Select the Close button in the upper right corner to return to the main hyflex page
Lecture Capture
Lecture Capture provides the most control of the technology in the room, merging the features of the General Classroom set up and the Hyflex set up. There are some additional things to keep in mind using this mode:
- During a Zoom meeting, if an additional input is selected to be shared from the lectern PC, it will be shared to the room but not the Zoom meeting.
- The control panel views each input source as a separate input. The Zoom meeting is happening on the PC input. There is nothing connecting the other three inputs to the PC input.
- The doc cam can not be used for Zoom meetings.
The scenario below is one use case for the Lecture Capture mode.
Set up a Zoom meeting with slides on both displays
NOTE: You must run Zoom through the Instructor PC to use the cameras and the room mics.
- Open your Zoom meeting on the Instructor PC
- Select the Lecture Capture button on the touch panel
- Select the PC button as the source

- Select the Advanced Display button and select Room PC Primary in both the Display 1 and 2 Video Selection columns

- This displays the Primary display on both screens in the room while allowing the secondary display to be used by the instructor to monitor things like the people online and the chat.
- Once you are ready, deselect the Screen Shade button.
Caveats to this setup
- To display something online from a different source than the instructor station, the user will have to log into the meeting on the zoom meeting on that device as a guest and share their screen on that device.
- The audio settings will work the same as in the Hyflex settings. The user can access the controls through the Advanced Audio menu.
- Camera setting are available by selecting the Camera Settings button at the bottom of the screen to switch between the room and presenter cameras.
Troubleshooting
The instructor PC is not responsive
Check that the Instructor PC is on. The PC is located in the podium stand. The power button should be illuminated white to indicate the PC is on.
