This article outlines how to utilize the technology options available in the room.

Voice Amplification

This setup is used in situations that require only using the voice lift capabilities

  1. Grab the microphones from the cabinet by the lectern
    • The 2 handheld and 2 lavalier microphones can be used anywhere in the room.
    • The table mics can be used in this set up, but they will need to be used in sequential order grouped below:
      • Mics 1-4
      • Mics 5-8
      • Mics 9-12
      • Mics 13-16
      • Mics 17-20
        • This is because the table mics are mapped to specific areas in the room. So, for example, if table mic 3 is being used next to table mic 15, there is the possibility of feedback because the room thinks they should in different areas.
  2. Select Audio Only on the room console
  3. Adjust mic settings as needed
    1. The labels on the columns match the labels on the microphone in the cabinet
    2. The mics need to be replaced in the same place they are stored

  4. Select the “X” in the upper right when done
  5. Replace the microphones in their labeled slots when complete

Audio Setup Notes

  • The ceiling mics help the video cameras identify were to focus and to help cancel background noise; there is no relationship to the ceiling mics and amplifying the speaker’s voice.
  • All of the table mics are controlled by the one Table Mic control.
  • The storage slots in the cabinet help sync the microphones to mapped locations in the room. If they are stored in a different slot than what is labeled on the mic, this could interfere with the mics programming. STORE THE MICROPHONES IN THEIR LABELED SLOT!

Presentation with Voice Amplification

This set up is used for a face-to-face presentation using the voice amplification system and displaying content on the monitors around the room.

Content Setup

  1. Select Presentation Mode on the touch panel
  2. Select the room layout and press the arrow in the upper right to continue
    Be sure to press the arrow in the upper right corner after you make a layout selection.
  3. Select the source to send to the monitors in the room 
  4. The A/V Hidden button will be selected upon log-in so you are not displaying anything as you are getting ready.
  5. Get your content ready to present to the room:

Using the Lectern PC:

  1. Log in to the PC at the lectern with your StarID
  2. Select Room PC on the room console.
  3. The left monitor on the PC will be displayed one the left displays around the room, while the right monitor will be displayed on the right displays.
  4. Once you are ready, unselect the “A/V Hidden” button.

Using your own device with HDMI:

  1. Connect the device to the screens with the HDMI cables.
  2. Select the Presenter HDMI button on the room console
  3. Once you are ready to start, unselect the “A/V Hidden” button

Using ShareLink:

  1. Select ShareLink on the room console
  2. Open a web browser on your device and type the IP address at the bottom of the display into the browser’s address bar.


    Here you have two options:
Using ShareLink’s WebShare
  1. To share content through the browser: select Share under the WebShare option on the website

  2. You will get webpage that says the connection is unsecure. This is a local network issue and can be ignored. Select the Advanced button.
  3. Select the link to continue to the website.

  4. Find the four-digit code at the bottom of the room display. (The code will change every 15 minutes)
  5. Enter the code in the first text box on the web page, along with a name, then select the Connect button:
  6. On the next web page that appears, select the blue Share button at the bottom of the web page;
  7. The web browser will as for permission to share your screen. After giving permission, a pop-up window will allow you to select a tab within the browser, an application window, or the entire screen. Make your selection and then select Share.
  8. To stop sharing, Select the Stop Sharing button at the top of the screen.
Using ShareLink Pro
  1. On the Extron Website, select the download button for ShareLink Pro
  2. Install the application on your device.
  3. Open the application and select the blue Add Device to add the room IP address
  4. Type in the IP address on the displays in the room and select the Next button
  5. Type in the room code on the bottom of the display and select the Connect button
  6. Select if you want to mirror your screen, mirror a specific application from your computer, or a specific image or video from your computer
  7. To stop sharing your content and select something else, select the trash can in the upper right corner of what is being shared. To leave, select the Leave button
  8. Once you are ready to start, unselect the “A/V Hidden” button

Setting up the displays:

This is how you adjust what is displayed on which display:

  • Select the Display Layout button at the bottom of the room console
  • In the left column, select what you want to display on the left displays in the room.
  • In the right column, select what you want to display on the right displays in the room.

Notes on Sound:

  • If you are displaying a video or streaming music, the speakers in the room are connected to what is being displayed on the left or right display.
  • The Program Volume buttons next to the input select control the sound from the computer to the speakers

Microphone Setup

  1. Grab the microphones from the cabinet by the lectern
    • The 2 handheld and 2 lavalier microphones can be used anywhere in the room.
    • The table mics can be used in this set up, but they will need to be used in sequential groups as listed below:
      • Mics 1-4
      • Mics 5-8
      • Mics 9-12
      • Mics 13-16
      • Mics 17-20
        • This is because the table mics are mapped to specific areas in the room. So, for example, if table mic 3 is being used next to table mic 15, there is the possibility of feedback because the room thinks they should be separate
  1. To adjust the mic volume, select Advanced Audio
  2. Adjust mic settings as needed
    • Note: The volume for all the table microphones are controlled on the one slider.

Setting Up a Zoom Meeting with Presentation

Because of the complexity of the technology in the room, these instructions will only cover sharing content into the Zoom meeting from the lectern PC. Please consult with IET before the event if this will not work for you.

Setting up the Room & Microphones

The room is equipped with microphones in the ceiling and in the cabinet in front to be used throughout the room. The ceiling mics only roles are to locate sound in the room to identify where the cameras should be pointed and to cancel noise in the other locations. The ceiling mics have no role in voice amplification

Daily Standard

In this layout:

  • Camera Tracking Zone is programmed for the handheld and lavalier mics to be used.
  • The table mics are programmed to be set on the tables as shown in the graphic below

 

Training Seating:

In this layout:

  • Camera Tracking Zone is programmed for the handheld and lavalier mics to be used.
  • The table mics are programmed to be set on the tables as shown in the graphic below

 

Lecture Layout:

In this layout:

  • The handheld and lavalier mics are programmed to be used throughout the room.
  • The table mics are not programmed to be used in this layout

Getting Presentation Ready

  1. Log into the lectern PC and get your materials ready
  2. On the Zoom console, press Join and enter your meeting ID number on the next screen
  3. Select Zoom on the room console
  4. Select the room layout and press the arrow in the upper right to continue

    At this point the room camera will display on the left monitor, and the participants will appear on the right.
  5. Once you get content set up on the lectern PC, select Room PC on the room console.
  6. Confirm content sharing on the Zoom console
  7. Unselect the A/V Hidden button to share your content to the room
  8. To stop sharing to the Zoom Room, select the red share button on the Zoom console
  9. To end the meeting, select the end button on the Zoom Console

 

Close Captions for the Zoom meeting

Once the Zoom session is running, here’s how to turn on the captions:

  1. Select the More Button on the Zoom console
  2. Select the Captions button
  3. Select the Show Captions slider to turn on.

Camera Setup

The default setting for the cameras to be set on auto-tracking. The microphones in the ceiling help identify which zone the camera should be focused and cancel the noise from the other zones for the people online. The handheld and table microphones pinpoint the location the cameras should focus.

You can turn auto-tracking off by selecting the Camera Settings button on the left. You will only be able to manually control the camera in the back of the room.
