Projects removed from current year plan

Summary

Handling for workplan projects that are removed from a current workplan (due to capacity or changing priorities); specifies both PMO and Planning treatment.

Body

In situations where a PEC member determines that a PMO Managed or Monitored project from their current year workplan cannot or will not be addressed in the current fiscal year (due to capacity, changing priorities, etc.):

  • For University Project Management Office (PMO) purposes: 
    • The project will remain in the project management system, with status of 'Removed' 
      • This is equivalent of deactivating and closing the project.
      • The project will still be included on PEC-facing reports, in the status of 'removed'.
  • For University Planning purposes:
    • If a project is 'removed' early in the year and prior to the workplans being published for the first time on My.Metro, they will not be included in the My.Metro published version of the workplan.
    • If a project is 'removed after the workplans are published in the President's Group in My.Metro, it will remain on the workplan but be noted with the change in status.
    • The Excel version of workplans used by PEC will also be edited to show that the project has been 'removed' and deactivated for the year.
    • A report of 'removed' projects can be provided to PEC (upon request), as they consider planning for the following year.
